I had a potential client call with someone interested in Type-A Creatives the other day and was asked about what systems I help clients set up. I had to pause because it varies so much from client to client – that it wasn’t an easy roll-off-the-tongue answer. So I did a big audit of past and current clients to come up with this list of 21 different systems we help clients set up.
Even if you aren’t looking to hire us to support your influencer or online business, you can treat this as a menu of systems of sorts to pick and choose from to set up for your own business.
This post is also a great example of how I treat everything like a system. Every time I’m asked a question or have to do something more than once, I’ve trained myself (it didn’t come naturally) to turn it into an asset. The next time a potential client asks that question, I can send them this video or pull it up myself to reference.
For ease, I’ve broken these systems into 4 categories: marketing systems, content systems, offer systems and CEO systems.
Let’s start with the first 5 under the umbrella of marketing systems.
Marketing Systems
I define marketing systems as the workflows you use to generate leads and sell to those leads. So probably this should more accurately be called marketing and sales systems but I find it easier to clump them together because there is a lot of overlap.
System #1 is a Measurement System
While most of the other systems I’m going to cover aren’t universally applied to each and every client (we really tailor the focus based on what the goals and business model are) – this one is always something we set up right out of the gate. This isn't your typical analytics dump either. We create a measurement dashboard that gives you your most important numbers at a glance—reverse engineered from your specific goals. You can, of course, dive deeper if you want into ALL the numbers, but the dashboard shows you exactly what matters to you NOW for decision-making without getting lost in data overwhelm.
System #2 is a Paid Ads System
Whether it's funneling to a freebie, micro-offer or engagement content, your paid ads strategy is not just a one-off project, it’s an ongoing system.
And in this system, we document processes for rotating and testing creative, measuring weekly (because anytime you're spending money, you should look more often than once a month) and optimizing for your specific goals. Taking a systems-based approach to your ads is the thing that’s going to get you to those wild ROAS (return on ad spend) results you see other people talking about but wonder how they got there.
System #3 is a Launch System
Your signature launch system might look like a big three-times-a-year campaign, it might be something more hands-on like weekly live webinars or anything in between. But regardless, we standardize the workflow so you basically have a just-add-dates launch plan and know exactly when to prep sign-up pages, how to update offers, ad strategy timing, pre-launch sequences, launch calendars, key messaging, even folder structures. Our number one goal with this system is that you feel organized instead of the chaos that typically defines a lot of launches.
System #4 is a Funnel Management System
Here's the thing—I've built, designed, scaled and optimized six and seven-figure funnels for over 10 years. And what I’ve found is that most people think of funnels as one-and-done projects, but the real system is the ongoing management: conversion rate optimization tests, measurement dashboards, documentation, and how it ties into your organic strategy. Without this optimization process, your funnel is operating at 50% potential at best.
System #5 is your Affiliate Program Systems
This one really depends on the business. But for those who do want or have an affiliate program, I find that so many people set them up and then never do anything with them which leaves massive potential on the table. We set up workflows for regular communications, promotional assets being sent, Q&A troubleshooting, monthly payouts – all so that you can keep your affiliates engaged and revenue producing.
System #6 is your Pinterest System
Should Pinterest go under social media systems? Nope, it doesn’t operate like a regular social platform, but is in fact, more of a search engine. And with that key distinction, it’s important to set up dedicated workflows that help you do keyword research, keyword optimization, profile set-up as well as the bulk create templates in Canva, and workflow for scheduling and tracking pins and URLs.
System #7 is a Podcast Pitching System
When it comes to getting exposure, nothing can fast-track you better than getting in front of other people’s people as an expert that they trust and vouch for. Taking up the mic and getting interviewed gives you a chance to showcase your expertise, increase your visibility and direct that visibility towards your funnel entry points. But doing this consistently requires a system including pitch templates, pitch trackers, media kits and promotion systems.
Content Systems
Next up we have content systems. A lot of people combine content and marketing. But I find it more helpful to break these out because there can potentially be a lotta systems under content which can get a little overwhelming.
System #8 is your Editorial Calendar System
With your editorial calendar, I always recommend working backward from your paid offers and your business goals, whether that’s audience growth, engagement or sales. Then we design the editorial calendar – so you know at a glance what’s coming up next – and nested within each upcoming content bundle – you’ll find the step by step workflow of all the things that need to happen (and in what order) to get this post out.
Speaking of content workflows, that’s system #9 – your Content Creation Workflows.
This is the big system that I believe completely eliminates overwhelm with content (even if it can feel a little overwhelming getting it established). When we manage your content workflow, getting content out consistently just won't be an issue anymore. We preserve as much of your brain space and energy for the creation part as possible, so you can create better content because you have more time for it. Quality control is huge here too and we build in checkpoints so your standards never slip while you focus on the creative genius part. I would say this is also the system with the most variability. Each of our clients' workflows look a little bit different based on their formats, platforms and preferences – plus the level of support they need to actually get the content finished varies a lot too. Some clients might need full on content interviews for their long-form content and others might just need help with the publishing and distribution.
System #10 is your Content Bank + Repurposing System
If we are looking for opportunities to get more mileage and ROI out of your time spent creating content, this is the system for you. Your content bank is an organized, categorized and streamlined content archive which allows you to repurpose intelligently and take content sabbaticals and breaks when needed. Every piece of content becomes a reusable asset instead of a one-time effort. Whenever you go to create something new, I always say, “shop your content bank first.” This system doesn’t just include the building out of your content bank, but also the system for maintaining and leveraging it too.
System #11 is your Community Management Systems
Here's what I've found through this work—most creators know they should be engaging with and building a community but they tend to get lost in the day-to-day of it. For our clients with private communities, we help create systemized workflows for community engagement so it feels authentic, not robotic. Think response templates that sound like you, engagement schedules that actually work with your workflow and tracking systems that help you build real relationships at scale. This system often has the highest ROI and impact on conversions if it’s something you haven’t been doing already.
System #12 is your Social Media Systems
Social media content systems need to be pulled out separately because each platform has its own strategic requirements – just like you have your own goals. We're talking about the complete creation and publishing workflow – from content planning to actually getting posts live consistently. But here's what most people miss: the tracking side that tells you what's actually working. We set up measurement systems so you can see which content drives real engagement and business results, then do more of that instead of just posting and hoping. Plus, we document the operational stuff too like keeping profiles optimized and making sure your Instagram links actually go to the right place – because that's a really big thing I see going wrong all the time: Instagram profile dead-ends.
Offer Systems
Next we have your offer suites, basically any workflows that support you in delivering an exceptional experience to your customers or to create new offers.
System #13 is a New Offer Creation System:
If you’re creating new offers often (or have a membership with monthly content being released), having workflows covering everything that has to happen (there are a million little steps) can save you so much time. These are really tailored from client to client and offer to offer but these systems might include content interviews for generating the content, purchase flow set-up, delivery emails and automations, salespage design and optimization, mock up templates, promotional graphics etc. Anything that you’ll do more than once is an opportunity to create a system for yourself.
System #14 is an Affiliate Link Management System:
This is a small but mighty system with a lot of potential for profit. Basically we set up documentation for all the things YOU'RE an affiliate for—making sure those links are organized into a database and shared strategically to maximize your affiliate income opportunities.
System #15 is Offer Organization and Customer Service:
One of the systems our clients love the most is our decision trees for common inbox inquiries so that your support team doesn’t need to come to you for every little issue that pops up (like resetting passwords, finding links, changing payment info, following up on delinquent payment plans). We also organize all your offer assets in one place.
System #16 is Brand Partnership + Campaigns
Specifically for influencers—creating repeatable workflows for brand deals so you're not recreating the wheel every time. Calendar management, contract sending, approval processes, and operationalizing sponsorships so you can do more of them or free up more time for landing them.
CEO Systems
The final set of systems in terms of our categories are CEO Systems. This is basically any system that helps you strategize or organize the business. One of the things I hear the most from our clients is how much they never thought they’d benefit from having a strategic business partner (without giving up any equity) as much as they do.
System #17 is your Quarterly/Monthly Planning:
You might think of strategy as something that you do regularly but kind of make it as you go. Nope, we have a major opportunity to operationalize your planning so that all those ideas in your head turn into actionable project plans that actually get done. For every client, we have an entire collection of custom templates and planners based on how they like to plan.
Speaking of turning plans into action – next is system #18 – your project management system.
This is the ongoing project management side of things because having a great quarterly plan is one thing, but actually executing it is another. We handle the week-to-week project coordination, deadline tracking, delegation, keeping you focused on what you need to get done and making sure all those moving pieces actually come together on time. Think of it as the bridge between your big strategic vision and the day-to-day execution that makes it happen, so you're not constantly putting out fires or wondering if things are on track. I don’t love this feedback because we all got into business in some way shape or form to be our own bosses, but I have a few clients who tell me I’m like their boss. I prefer accountability partner.
System #19 are your Team Hiring and Training Systems
Can I just brag on myself a little bit? I’m the best at finding great and onboarding great people. These systems include all of the templates and workflows for finding the right people, proper onboarding, quality control check-ins and basically building your trusted network of specialists…because you need systems for scaling your team, not just your business.
System #20 is High-Level Strategy & Messaging
This is one system that when we do it, it’s usually right at the start of working together. And you might already have some key messaging or brand voice docs floating around, hiding in your Google Drive folder. It’s really imperative to have these systems in place if you ever plan on having someone else support you in content creation – even if that someone else is an AI chatbot. This process usually includes putting together key messaging, audience profiling and brand voice development.
System #21 is Custom GPTs and Prompt Management
This is one we’ve doing a lot of lately. Helping our clients organize all of their ChatGPT or Claude prompts, setting up custom GPTs in lieu of workbooks for the programs and courses and making sure there’s a system for finding something that your favourite chatbot helped you do.
